Terms of Service

These terms govern the use of this website and the bookkeeping services provided by Aldebooks. By using this website or engaging Aldebooks for services, you agree to these terms. Individual client engagements are also governed by a signed engagement letter, which takes precedence where the two documents conflict.

These terms cover the general basis of service. If you are a bookkeeping client, your engagement letter is the primary document governing your specific engagement, fees, and deliverables.

About Aldebooks

Aldebooks is a bookkeeping firm based in Ottawa, Ontario, providing bookkeeping, payroll, HST tracking and reporting services to construction, trades and real estate businesses. Aldebooks provides bookkeeping services. We are not a public accounting firm and do not provide accounting, auditing, tax planning or legal advice. Clients requiring those services should engage a licensed CPA or lawyer.

Services

Scope

The specific services provided to each client, including deliverables, timelines and fees, are defined in the engagement letter signed before work begins. Services typically include some combination of monthly bookkeeping, bank reconciliation, HST tracking, payroll processing, and financial reporting, depending on the engagement.

Not a substitute for professional advice

Bookkeeping is the recording and organization of financial transactions. It is not tax advice, financial planning, legal advice, or public accounting. Nothing delivered by Aldebooks, including reports, summaries or verbal explanations, constitutes professional advice in those areas. You should consult a licensed CPA for tax filing and planning, and a lawyer for legal matters.

Accuracy and reliance

The accuracy of bookkeeping output depends on the completeness and accuracy of the information provided by the client. Aldebooks is not liable for errors or omissions that result from incomplete, inaccurate or delayed information from the client. Clients should review all reports and reconciliations and raise any concerns promptly.

Fees and payment

Fees are set out in the engagement letter. Monthly service fees are invoiced in advance and are due on the date specified in the engagement letter. Project work such as cleanups and catch-ups is quoted upfront at a flat rate and invoiced per the agreed schedule.

Aldebooks reserves the right to pause or suspend service on accounts with outstanding unpaid invoices beyond 30 days. Disputed invoices should be raised in writing within 14 days of the invoice date.

Confidentiality

All client financial information is treated as strictly confidential. It is not shared with third parties except as required to deliver the agreed services, or as required by law. Aldebooks will sign a non-disclosure agreement on request. See the Privacy Policy for full details on how information is handled.

Intellectual property

All content on this website, including text, design and structure, is the property of Aldebooks. You may not reproduce, copy or distribute it without written permission.

Financial reports and documents prepared for a client as part of a paid engagement belong to the client and may be used freely by the client for their own business purposes.

Termination

Either party may end a monthly bookkeeping engagement with 30 days written notice. There are no lock-in contracts and no cancellation fees. On termination, any outstanding invoices for work completed become immediately payable. Your books and all financial data remain in your own software accounts at all times and are never withheld.

Aldebooks reserves the right to terminate an engagement immediately if a client provides materially false information, engages in unlawful activity, or makes the working relationship untenable.

Limitation of liability

Aldebooks' liability for any claim arising from the provision of bookkeeping services is limited to the fees paid for the month in which the error occurred. Aldebooks is not liable for indirect, consequential or incidental damages, including penalties, interest or losses arising from reliance on bookkeeping output.

This limitation does not affect rights you may have under applicable Canadian consumer protection law.

This website is provided for information purposes. While we take care to keep it accurate and current, we make no warranty that the content is complete, error-free or up to date. Do not rely on website content in place of direct professional advice for your specific situation.

Governing law

These terms are governed by the laws of the Province of Ontario and the laws of Canada applicable therein. Any disputes arising under these terms are subject to the exclusive jurisdiction of the courts of Ontario.

Changes to these terms

We may update these terms from time to time. The date at the top of this page reflects when they were last revised. Continued use of this website or our services after an update constitutes acceptance of the revised terms. Material changes to engagement terms will be communicated directly to active clients.
