Aldebooks operates as a bookkeeping firm serving construction, trades and real estate businesses in Ottawa and the surrounding region. This policy explains what information we collect, how we use it, and what your rights are.
By using our website or engaging our services, you agree to the practices described here. If you have questions, contact us at hello@aldebooks.ca.
When you fill out a contact form, book a free review, or email us, we collect the information you provide: your name, business name, email address, phone number, and any details you share about your bookkeeping situation. We use this information to respond to your inquiry and, if you become a client, to set up and manage your engagement.
When you visit this website, standard web server logs and analytics tools may collect basic information including your IP address, browser type, operating system, referring page, pages visited, and time of visit. This information is used in aggregate to understand how the site is being used and to improve it. It is not linked to individual identities.
As part of delivering bookkeeping services, we access financial records including bank statements, transaction data, payroll records, receipts and other business financial information. This information is handled under a signed engagement letter and held in strict confidence. It is never sold, shared with third parties for marketing purposes, or used for any purpose other than providing your bookkeeping services.
We do not use your information for automated decision-making, profiling, or marketing to third parties.
We do not sell personal information. We do not share client financial data with any third party except where required to deliver the service you have engaged us for, or where required by law.
The software platforms we use to manage client books (including QuickBooks Online) are governed by their own privacy policies and security certifications. Your books live in your own account on those platforms. We access your file to do the work; we do not transfer your data to other systems.
If subcontractors or staff support work on your file, they operate under the same confidentiality obligations as this policy describes.
We retain client information for as long as the engagement is active and for a reasonable period after it ends, consistent with professional bookkeeping standards and applicable Canadian law. Correspondence and engagement records are typically retained for seven years. You may request deletion of information that is not subject to a legal retention obligation by contacting us in writing.
Client books are held in your own QuickBooks Online account, which use bank-level encryption and industry-standard security controls. Our internal systems and communications are managed with the same care. No security system is infallible, but we take reasonable technical and operational steps to protect the information we handle.
We work under a signed engagement letter with every client. We will sign a non-disclosure agreement on request.
